If you’re a Nepali student planning to study in Japan, you must prepare and submit the following documents to apply for a Certificate of Eligibility (CoE) and Student Visa.

📍 Important Notes Before You Apply:

Validity: Documents are valid only for 6 months from the issue date (Japanese-issued documents: 3 months).

Translation: Documents in other languages must have a Japanese translation.

Originals: Some original documents (e.g., graduation certificates) will be returned after verification.

Signatures: All documents must be signed by the applicant and financial sponsor.


Documents Provided by Your Language School

1️⃣ Application Form – Filled with details, including your financial sponsor’s information.

2️⃣ Resume – Must include all education & work details with signature and explanation of any gaps in education or work.

3️⃣ Reason for Studying in Japan – A detailed statement written separately.

4️⃣ Pledge Document – A commitment letter (format provided by the school).


Personal & Academic Documents

5️⃣ Final Education Certificate – Original certificate of your highest education level (returned after verification).

6️⃣ Final Education Transcript – Original mark sheet or transcript.

7️⃣ Japanese Language Test Certificate – Proof of passing JLPT (N5 or higher), J-TEST, NAT-TEST, TOP-J, or GNK.

8️⃣ Japanese Language Course Attendance Record – If you have studied Japanese for 150+ hours, submit the attendance record.

9️⃣ Family Register Copy – Official relationship verification certificate.

🔟 ID Card CopyCitizenship or national ID (both sides).

1️⃣1️⃣ Birth Certificate – Government-issued official document.

1️⃣2️⃣ Employment Certificate (if applicable) – Work history details, including job role and length of service.

1️⃣3️⃣ Police Report (if required) – Only needed if requested by Immigration Bureau.

1️⃣4️⃣ Student Status Certificate / Recommendation Letter – Issued by your college/school showing major, enrollment year, and expected graduation.

1️⃣5️⃣ 10 Passport-Size PhotosSize: 4cm x 3cm, taken within 3 months, upper body, no hat.
Write your name on the back of each photo.


Financial & Sponsorship Documents

1️⃣6️⃣ Financial Sponsor Document – Signed document from your financial sponsor (format provided by the school).

1️⃣7️⃣ Bank Balance Certificate & Statement – Bank balance of at least 2.5 million Japanese yen (~NRs. 20–25 lakh), covering the last 3 years.

1️⃣8️⃣ Source of Funds Explanation – Documents proving how the sponsor obtained the funds.

1️⃣9️⃣ Income Statement – Sponsor’s income details for the last 3 years.

2️⃣0️⃣ Income Tax Statement – Tax records for the last 3 years issued by the government.

2️⃣1️⃣ Proof of Relationship Between Sponsor & Applicant – Documents such as birth certificates, family register, or notarized relationship certificates.

2️⃣2️⃣ Sponsor’s ID CopyBoth sides of the financial sponsor’s ID card.


Additional Notes

🔹 No Corrections Allowed: Do not use liquid paper/white-out on any document.

🔹 CoE Documents: Required for Certificate of Eligibility (CoE) application. Additional documents may be requested case-by-case.

🔹 Non-Returnable Documents: All submitted documents are non-returnable, except for original education certificates.
